Customer notes included in the follow-up spreadsheet

Customer fields and available notes were brought into the team's follow-up spreadsheet when the standard export did not include the information needed.

  • Activepieces
  • Google Sheets
  • GoHighLevel
  • Close

The problem

The CRM contained the information, but the working sheet needed it.

Follow-up preparation needed customer fields and notes in a working sheet, with no easy export for that information.

Each selected row needed a CRM lookup, including email normalization and a separate path when the record was not found.

Contact notes had to be retrieved and combined into the row where follow-up preparation would happen.

The change

Selected customer rows received the available CRM context.

Information to retrieve

  • A sheet row identifying the customer
  • Customer fields stored in the CRM
  • Notes held on the contact record
  • A working sheet needing follow-up context

Implemented approach

  • Consistent email formatting supported CRM lookup
  • Retrieved lead fields written to the row
  • Available notes combined into usable text
  • Customer context assembled in the sheet

Customer records matched to selected rows

A form or webhook started the relevant lookup workflow. Filters selected the rows to process, and consistent email formatting supported matching each customer to a CRM record.

Separate CRM field and contact-note workflows

One workflow retrieved Close lead details. Another combined available GoHighLevel contact notes. Each wrote the retrieved information to the relevant sheet row, with separate handling when a lead or notes were missing.

The results

Customer context available in the working sheet.

Retrieved fields and notes beside the customer row

Selected sheet rows held the available CRM fields and combined contact notes for follow-up preparation. This provided information the standard export did not supply.

Missing information had its own handling

Separate branches handled a missing lead or unavailable notes. The sheet update reflected what the lookup returned.

Scope and responsibilities

The work covered CRM-to-Sheets lookup and notes-retrieval workflows, including email normalization, row processing, note assembly, and sheet updates.
