Customer access matched to what was purchased

Purchases connected to the courses and community access included in each offer. Shared rules supported multiple offers, with human lookup for missing customer identifiers.

The problem

Every purchase needed to find the customer and interpret the offer.

CRM records and community accounts used their own identifiers. Incoming purchases needed to connect to the relevant records.

A purchased product or commercial tier had to become specific course access, community membership, and platform tags.

Putting identity and entitlement logic inside every purchase path made later offer changes harder to maintain.

The change

Shared rules matched the customer and applied the purchased access.

Separate purchase paths

  • Customer lookups repeated at purchase points
  • Offer rules mixed into individual workflows
  • Each purchase path handled its own platform identifiers
  • New offers needed more duplicated setup

Reusable access approach

  • Shared customer details and record lookups
  • Shared rules for each product and access level
  • Connected customer records across platforms
  • New offers reused the access workflows

Finding the customer across platforms

Purchase and onboarding paths sent customer and offer details to shared workflows. Consistent email, platform and status values supported record lookups. The workflows created missing customer records where that step was supported.

Applying the purchased access

Shared offer rules selected the course access, community invitation, membership and tags for each product or tier. The workflows also updated CRM and tracking records, keeping the access rules outside the individual purchase paths.

The results

Shared offer rules supported customer access.

Courses and community access matched to the offer

Product and tier mappings determined which course, community and tagging actions applied to the customer. Multiple offers reused those rules and customer lookups.

Access changes reflected in customer records

The access workflows also updated the CRM and tracking records so the team had connected information across the platforms.

Scope and responsibilities

The work covered modular webhook workflows for customer identity, offer-to-access mapping, platform updates, and lifecycle records, plus maintenance as offers changed.

Missing identifiers and mismatched legacy records require lookup, reconciliation, or an operating handoff.
